Organize Your Brain With Workflowy

Warning: You’re about to go from scatterbrained to organized with an incredible new application called Workflowy.com.

Funny name, amazing ninja-organizer capabilities. And while Workflowy looks a little plain Jane; once you start using it, you’ll see it’s more like Wonder Woman.

Here’s why: Workflowy lets you create any kind of list you want, even if it’s completely random and organizes it for you!

Let’s say you have a ton of client work to do. Open Workflowy and pop in your to-do list for the day. Have lots of to do’s this week? Just throw them into your list too. Heck, add your grocery list if you like. Yes, the entire list, typed out.

Once you’ve created your list, you can:

  • Add hash tags to organize your list. Mark everything you need to do today with, #today, or use the # symbol in front of any keyword you like (days of the week, person’s name, whatever). Then, click on the hash tag of your choice and your entire list pops up, organized, under that tag.
  • Expand or Collapse your list. Use the buttons to make your list bigger or smaller. You can decide how much you want to see at one time.
  • Cross things off when you’re done. It’s satisfying, trust us. Complete a task, cross it off. Cool!
  • Share your list with others. Maybe you’ve added #kidschores to your list. Go ahead; send that list to your kid. He’ll love the reminder.
  • Go mobile. Workflowy is accessible from most smart phones. Just type the URL in your web browser and it’ll go right to your lists.

    I tried Workflowy and I didn’t like it. It creates too much friction when importing and exporting the data to it and from it. No simple way to get in/ get out.

    I really like the concept…however, I entered everything free flow and am trying to organize into categories – I see the plus on the right and says drag to move but it doesn’t seem to move very easily…after thirty minutes of moving just a few tasks, I gave up…is it me? Thanks for any advice!

      Might it be the browser you’re using, Danita? I use Chrome and sometimes things like that happen to me when I try a new app. Just a thought. :)

    I really like this concept. I am going to try out. a similar one is trello.com these 2 may become my answer together. I like the outline style on workflowy!

    Hm. Have had a play around with Workflowy. It’s not at all dressed up but then it doesn’t need to be that attractive to the eye as long as it’s easy to get around, which it is. However, I do feel that I could do the exact same job using a spreadsheet on my computer, in fact I do. For me, it would be just another site to visit and hence an extra task. I’ll pass on this one but I’m sure it’ll suit a lot of people. Thanks for sharing.

    Everyday I open my emails from you and I am so impressed with the tips you give. Workflowy literally is answering all my prayers as I almost murdered my task list yesterday because i couldn’t find an efficient way to keep hundreds of to do’s organized. This is a savior!

    Wow… just signed up… so far I love it. Way easier than rewriting lists by hand or moving things around in excel or word. I’ll give it a week or two to see if it will fit with my crazy life. Thanks for the info!
